What is a Company?

Companies are accounts representing a group of users. There are two types of company accounts - Public and Private:
  1. Private Company Accounts: A private company account is used for groups whose members are known (i.e. employees). The creation of user accounts is initiated and authorized by the Company Administrator. Users get their new account credentials by email. They don't have to signup and they don't have to enter any billing information because their account charges are paid by their company. Go to Private Company Account Setup to learn how to create and manage user accounts for your organization.
  2. Public Service Accounts: A public service is a virtual account used as the Public Service for online public subscriptions. Customers are invited to go to a Web site to signup. They get to choose their subscription packages and options, enter their user information and their billing method. Public companies don't pay for their users. Go to Public Service Account Setup to learn how to manage the service packages offered for online user signup, the user call restrictions, the billing, etc.

The VAR Administrator has administrator rights on companies and their users.

The Companies View

Click on the Companies button to access the Companies page that lists all registered companies on the system. In this section, you can create a new company account, import an existing one from the phone system, or completely remove a company account. For existing company accounts, you can change their options, their call restrictions and the number of their subscription keys. All changes are saved and effective immediately.The Companies view provides the following information organized in columns for each company:
  • Company Name: Click the company name to edit the company profile and other company options.
  • Company Type: Private Company or Public Service.
  • Keys Unused: The number of user keys available in the company account. Click to change it.
  • Keys Used: The number of keys already assigned to users.
  • Options: View and edit the company's options such as private labels and the RSS feed.
  • Rest: View and edit the company's call restrictions.
  • Remove: Remove the company account from the system. Note: This will also remove all users part of that company.

Note: You can sort the list by Company Name simply by clicking the column header.

Creating New Company Accounts

A new company account requires an administrator, a telephony provider to carry its telephone calls, user license keys, service packages, and at least one DID assigned to the main public services: the virtual receptionist or the virtual assistant.Here are the steps to create a company account:
  1. Click the Companies button on the Web Manager toolbar to open the Companies page.
  2. Click Add New Company... to launch the New Company Account Setup.
  3. Fill-in all the required fields of the new company form as follows:

In the General Information section:

  • Select the Company Type: Private Company or Public Service
  • Enter the Company Name
  • Select the First Language used by the company, and the Second Language if applicable.
  • Select the Telephony Provider to be used as the primary telephone gateway or company PBX used to handle the company's telephone calls. Go to Telephony Providers for more information.

In the Administrator's Account section:

  • Enter the Company Administrator Name
  • Enter the Company Administrator Language
  • Enter the Company Administrator E-Mail Address
  • Enter the Company Administrator Phone Number

In the Services & Phone numbers section:

  • Select the services to be used by the company, then enter the phone numbers assigned to each of these services if available. The two commonly offered services for private company types are the virtual assistant and the virtual receptionist.

In the Keys and Packages section:

  • Enter the Number of User Keys assigned to the company account for its users (one key is required for each user).
  • In the Service Packages grid, check the Activebox for each Service Package to be offered to companies and their users. Check the Default box for the service package to be automatically assigned to new users.
  1. Click Continue to submit the information for the new company account.

>Account Provisioning Actions on Phone System and Billing

  • For Private Company accounts:A new Customer Account (CAN) is created for the Company on the billing system then used to provision the Company account on the phone system if the Telephony Provider supports Provisioning.

Once the registration is completed, an e-mail message containing the new company administrator Username and Password will be sent to the company administrator's e-mail.

Importing Companies

As the VAR Administrator, you can import existing companies directly from your phone system into your VAR account using remote provisioning if your Telephony Provider supports it.

Click on the Companies button to open the Companies page then start the Company Import as follows:

  • Click the Import Company button on the Companies page. An Import Company Wizard appears.
  • Select Phone System as the Source Type from the list of available sources and select the specific Telephony Provider to import the company account from.
  • Press Next to view the list of companies found on the Telephony Provider and that belong to your VAR account.
  • Select the company to import by checking the box under the Include field.
  • Press Next to start importing the company profile into the Evatel system, or press Close to close the window without importing the company.
  • Once you have pressed Next, an Add New Company window is displayed with the company information already populated in the text fields. Verify that the information is correct then fill in any required fields that are empty.
  • Click Continue to proceed, then Finish to complete the company import.

A new company account will be created on the Evatel system for the imported company and an e-mail containing the Company Admin credentials will be sent.

Editing the Company Profile

As the VAR administrator, you can edit the account profile of an existing company to change its call restrictions, the number of its subscription keys, its telephony provider, its default service packages, its languages, administrator information, etc.

Note: When editing a company profile, you are inside a company administrator session where you can view and edit a number of other company account information parameters such as DIDs, Virtual Receptionistservice, etc. Go to Starting a Company Admin Session for more.

  • From the Companies view, click on theCompany Nameyou want to edit.
  • Click the Profile button to open the Company Account Profile page. Modify the information about the selected company as needed:
    • Service Packages
    • Call Restrictions
    • Telephony Provider
    • Company DIDs
    • Virtual Receptionist service
    • etc.
  • Click Submit to save changes.

Starting a Company Admin Session

As the VAR administrator, you can start a company admin session for any company account to view and edit company information such as call logs, DIDs, Virtual Receptionist service, etc. This is mainly to enable you to provide remote service for companies that require your assistance. Here is how you can start a company admin session:
  • From the Companies view, click on the Company Nameto launch a company admin session for the selected company.
  • Click the buttons on the toolbar to access different admin pages to view and edit company information. Go to Company Admin Web Portal Overview for more.

Changing Company Call Restrictions

As the VAR administrator, you can edit the call restrictions of any company account to specify which type of calls the company users are allowed to make or not make by default.

Here is how you can edit the company call restrictions:

  • From the Companies page, click the Rest lock link in the Rest column corresponding to the company for which you want to change the restrictions. A window opens displaying the list of existing call restrictions and their settings.
  • Select the Default Status of the restriction:
    1. Choose Enabled if you want to prohibit this type of calls for this Company and its users.
    2. Choose Disabled if you want to turn the restriction off and authorize all the company and its users to make this type of calls by default. The Company administrator can later selectively enable this restriction to block some or all company users from making this type of calls. See Setting Call Restrictions for Users for more.
  • Click Submit to save changes.

Selecting the Service Packages Offered to Companies

As a VAR administrator, you are responsible for selecting the service packages that will be offered (Offer) and those that will be assigned to their users by default (Default). Here is how:

Click the Packages button to list the available company packages and their current settings:

  • Check the Offer box to make the Service Package available to your companies and their users. To turn the Service Package off without deleting it, uncheck theOffer box. Note: Any deactivated package will no longer be offered to new subscribers, but its current users will continue using it.
  • Check Default if you want the Service Package to be assigned to users by default. Otherwise, it will be available to users as an option.
Click Submit to save the changes.

Removing Company Accounts

As a VAR administrator, you can remove company accounts from the Companies view as follows:
  • Click the Remove link corresponding to the company you want to delete.
  • Click OK to confirm the removal of the company and its users from the system.

The resulting actions on the Excendia System are:

  • The Company account is removed from the Evatel System (unsubscribed).
  • All Company Users are removed from the Evatel System (unsubscribed).
  • All Company DIDs are removed from the Evatel System.

The resulting actions on the billing system and the phone system are:

Account Provisioning Actions on Phone System and Billing

  • The Company account is removed from the billing system
  • The Company account is also removed from the phone system if the Telephony Provider supports Provisioning.
  • The Company DIDs are released on the phone system if the Telephony Provider supports Provisioning.

Adding and Removing Subscription Keys to Companies

Subscription keys provide licenses for individuals to subscribe and use services.As the VAR administrator, you can add and remove Subscription Keys to company accounts as follows:
  • From the Companies view, click on on the Unused Keys link of the selected company.An Keys Unused window opens.
  • Increase or decrease the number of unused keys for the company as needed.
  • Click Submit to save changes.

Number of Company Contacts Used

As the VAR administrator, you can set the maximum number of public contacts used by a company in its voice directory as follows:
  • From the Companies view, click on on the Options link of the selected company.
  • Change the number of public contacts in the field provided in the Public Contacts Information section.
  • Click Submit to confirm the new public contacts quota.
The maximum number of public contacts that can be used in the company's voice directory is now changed.

Company Private Branding

As the VAR administrator, you can define the private branding parameters of companies that use their own corporate colors and sounds for the service as follows:
  • From the Companies view, click on on the Options link of the selected company.
  • Edit the URLs for each of the application modules that will use a private brand in the Private Label URLs section.
  • Click Submit to confirm.
The new private label interfaces (voice and Web) will be used as indicated in the URLs.

 

Company FAQs

What is a CAN?

A CAN is the Customer Account Number of a company or user that subscribed to Evatel services. The CAN is a unique ID to identify the customer for billing purposes on the Evatel System, the Telephony Provider and the Billing System.

What happens if I add a Company that already exists?

You can have several companies with the same name, however, they will each have a unique Customer Account Number (CAN).

What happens to Users of a Company I just deleted?

Once a company is deleted, all its users are unsubscribed then permanently removed from the system.

What happens to DIDs of a Company I just deleted?

Once a company is deleted, all DIDs associated to that company will be permanently removed from the Evatel System and returned to the phone system for handling if the Telephony Provider supports provisioning.

Can I reactivate a deleted Company account?

Yes for a limited time while the Company account state is set to Unsubscribed. After the "quarantine" period, the company account is removed from the Evatel system.

What is a CAN
